The challenge of being out of the office but running the office

Being a small business or one man operation is a challenge.  Being out on the road, busy on a job you still need to be connected with your clients.
 
Technology has come a long way and offers many ways of staying connected and in control of your business.
 
Using a laptop out of the office you can now use wireless networking or mobile data cards to stay connected and access the Internet and check your email, voicemail and even access files back at your office.
 
An alternative to the laptop is a PDA (Personal Digital Assistant) e.g. Blackberry, Windows Mobile, Treo.  In essence a pocket computer integrated with a phone which allows you to again check your email, voicemail and access the Internet as well as manage your schedule and client contacts.  You can also use your PDA with Bluetooth and share its high speed data connection with a Bluetooth enabled laptop.
 
Both of these technologies offer up to Broadband speeds when you are on the road (based on location and coverage) so you can access information and communicate at the same speeds as being in the office.
 
Netbooks have become the tool of choice for the road warriors.  When the size of a PDA will not work for longer term usage the Netbook offers the next best solution.  A small laptop with enough processing power for document work, internet and email and the battery life, size and weight that gives the best in portability.  See our products page for the best of breed Netbooks.  Netbooks coupled with mobile broadband are becoming the norm - soon Netbooks with integrated mobile broadband will offered - AT&T are planning to sell the MSI Wind for $99 with an integrated broadband service - based on signing a new 2 year contract.

Most of these deals will have an activation charge like a normal cellphone.

Voice over IP Phone systems
 
Throw a Voice Over IP (VOIP) phone system into the mix to improve and further integrate your communications.  You can utilise your existing broadband connection to run your phone service too.  This can give you significant savings compared to running a standard landline through Verizon.
 
VOIP providers offer the same functions as more expensive packages on traditional phone services.  Caller ID, Voicemail, Conferencing, Free Long distance and more.  Have International clients?  Using a VOIP service will save you money on calling outside the US.
 
Utilising features like Divert or Ring on Cellphone and Office phone mean that you never miss a call.  Should you not answer the call you can have your voicemail forwarded to your PC or PDA as an email attachment so you can check it at your convenience.
 
You can add Fax services too, get your faxes in your Inbox via emails rather than keep a fax machine plugged in and tying up a phone line.
